The Administrative Assistant will provide the team with support with calendar management, expense reimbursements, uploading documents to SharePoint portal, etc.  Global Financial Services, Pharmaceutical or Healthcare experience is strongly preferred.




  • Proactively manage calendars, and uses diplomacy to resolve conflicts in advance across global time zones
  • Manage high volume of emails, initiating follow-up when necessary
  • Manage all travel, including ground service/hotel/airfare
  • Coordinate logistics for meetings (including off-sites), e.g. travel (domestic/international), communications, conference room reservations, teleconference/videoconference/WebEx, presentation development, and catering
  • Responsible for timely submission of Travel and Expense reports, ensuring compliance with corporate travel policy
  • Manages the Department SharePoint site content
  • Prepares PowerPoint presentations
  • Special projects as assigned


  • Knowledge of network and server technology language
  • Extensive experience with Microsoft Office and SharePoint
  • Experience with Ariba or Concur for travel expenses
  • Vendor management as well as experience working with offshore vendors
  • Must have pharmaceutical industry experience
